Enter an hourly rate to see regular, overtime and gross pay.
Overtime here is weekly: hours over the threshold are paid at the multiplier. Overtime rules vary by jurisdiction and contract (some places also have daily overtime or double time), so check the rules that apply to you.
How to use the time card calculator
- For each day you worked, enter the start time, the end time and any unpaid break in minutes. Leave both times blank on days off.
- For a night shift, enter it on the day it starts. An end time earlier than the start time is counted as the next morning.
- Use Copy Monday to Tue–Fri if your weekdays are the same, then adjust any day that differs.
- Optionally enter your hourly rate, and change the overtime threshold or multiplier if your employer uses different ones.
Timesheet and overtime formulas
Weekly hours = sum of daily hours · Overtime hours = max(0, weekly hours − threshold)
Regular pay = (weekly hours − overtime hours) × rate
Overtime pay = overtime hours × rate × multiplier · Gross pay = regular pay + overtime pay
Each shift is measured in exact minutes, the minutes are added for the week, and only then converted to decimal hours. Rounding each day first and adding the rounded figures can be a few cents out by the end of the week. Overtime is counted on the weekly total: the hours beyond the threshold are paid at the rate times the multiplier, and the rest at the normal rate.
Worked example
Monday to Friday from 9:00 AM to 5:30 PM with a 30-minute lunch is 8:00 a day, or 40:00 for the five days. A Saturday morning from 9:00 AM to 1:00 PM adds 4:00, making 44:00 hours. With overtime after 40 hours, 4.00 hours are overtime.
At $20 an hour, regular pay is 40 × $20 = $800.00, and overtime pay is 4 × $30 (time and a half) = $120.00. Gross pay for the week is $920.00 before tax and other deductions. A night shift from 10:00 PM to 6:00 AM with a 30-minute break would add 7:30 (7.50 hours) to the day it starts.

Overtime rules vary
The 40-hour default follows the US federal Fair Labor Standards Act, which requires covered, non-exempt employees to be paid at least one and a half times their regular rate for hours over 40 in a workweek. A workweek is any fixed, recurring seven-day period your employer sets, so it doesn't have to start on Monday. Some states add daily overtime, employees classed as exempt (often salaried) may not qualify, and other countries and many contracts use different thresholds and rates. Treat the result as an estimate, and check your contract or local labour authority for the rules that apply to you.
Tips for filling in a time card
- Record times as you go. Reconstructing a week from memory is an easy way to lose minutes.
- Only subtract unpaid breaks. Short paid rest breaks stay in the total.
- Keep h:mm and decimals apart. 7:45 is 7.75 hours, not 7.45. The calculator shows both so you can copy the format your payroll system wants.
- Gross is not take-home pay. Tax, insurance and other deductions come off afterwards.
For a single shift, the hours calculator is quicker. To add up lengths of time, use the time calculator.
Frequently asked questions
How do I calculate overtime pay?
Take the hours over the overtime threshold and multiply by the hourly rate and the overtime multiplier. With 44 hours in a week, a 40-hour threshold and $20 an hour at time and a half, overtime is 4 × $30 = $120, regular pay is 40 × $20 = $800, and gross pay is $920.
What is time and a half?
Time and a half is 1.5 times the regular hourly rate: $20 an hour becomes $30 for each overtime hour. Double time is 2 times the rate. Enter the multiplier your employer uses in the overtime multiplier box.
Is overtime based on daily or weekly hours?
Under the US federal Fair Labor Standards Act it is weekly: hours over 40 in a workweek. Some states, such as California, also require overtime after a set number of hours in a day, and other countries and contracts have their own rules. This calculator applies a weekly threshold that you can change.
How do I record a shift that ends after midnight?
Enter it on the day it starts, with the real end time. A shift from 10:00 PM to 6:00 AM with a 30-minute break counts as 7 hours 30 minutes on the start day; the calculator sees that the end time is earlier than the start and adds a day.
How do I turn time card hours into decimal hours?
Divide the minutes by 60. 7 hours 45 minutes is 7 + 45 ÷ 60 = 7.75 hours, and 8 hours 20 minutes is 8.33 hours. The calculator shows every day and the weekly total both ways, and adds up exact minutes before rounding so the total doesn't drift.
